About this Policy

This privacy policy sets out how Valleybrook Holidays use and protects any information that you give us. 
This policy is effective from 1 June 2018.
Valleybrook Holidays are committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy statement.

We reserve the right to amend this Data Privacy Policy from time to time without prior notice. You are advised to check our website regularly for any amendments (but amendments will not be made retrospectively).
For the purposes of the GDPR, Valleybrook Holidays will be the "controller" of all personal data we hold.

We also process personal data about employees and that is detailed at the end of this document.

  • Your title, name, gender and age if under 25,
  • your contact details such as email address, phone number, street address
  • specific enquiry details
  • information about people in your party
  • information about your booking
  • other information we may need to help meet your specific needs

Why we collect the information

  • to respond to your contact
  • in order to take steps prior to entering into a contract 
  • for the performance of a contract

Security of your personal data

  • Valleybrook Holidays will not transfer your personal data outside the EU without your consent.
  • We store physical records in a locked cabinet when not in use which is accessible only by partners of the business
  • Records that are stored electronically are on password protected devices
  • Please note however that where you are transmitting information to us over the internet this can never be guaranteed to be 100% secure

Access to the information you provide us

  • We will never sell your personal data. We will not share your personal data with any third parties without your prior consent (which you are free to withhold) except where we are required to do so by law.

How long do we keep your information

We keep your information until we have responded to your contact, completed our contract with you and for internal record keeping for a period we consider reasonable.

  • If you have been in contact with us (eg. made an enquiry) but not stayed with us, we will keep your data for no longer than 3 years.
  • If you have stayed with us, we will keep your data for no longer than 26 years.

  • We collect title, name, gender
  • address 
  • email address
  • contact number
  • date of birth
  • national insurance number
  • where provided, bank details.

Why we collect the information

  • To administer your terms of employment, provide financial and tax information for HMRC, provide financial information to comply with Workplace Pension requirements and records to comply with Employers Liability.

How long do we keep your information

  • Financial information is retained for 6 years to comply with HMRC requirements and
  • Personal information for 40 years in connection with Employers Liability Insurance.
